1. Additional TimeClock timesheet modes

We have introduced two additional timesheet modes to the TimeClock in order to assist with your workforce requirements.

The new settings can be accessed in Admin > Configuration > Organisation Settings > TimeClock Tab.

You can also assign different timesheet modes to selected roles, departments, projects, locations and individual employees.

New mode 1: Create timesheet in draft mode

The first new mode we have introduced is draft timesheets.

When this mode is selected, the following process will occur;

  1. An employee will clock off with the TimeClock or Personal TimeClock;
  2. Any rounding and automatically scheduled breaks will be applied (if applicable);
  3. The timesheet is placed in a draft status;
  4. The employee can access their draft timesheet in Pending Requests > Draft Timesheets or in Timesheets/Team Timesheets; and
  5. The employee, manager or project clerk can now review and edit the timesheet prior to submitting for approval.

Once submitted for approval, the timesheet follows the normal approval process as setup in Definitiv.

Note: If you do utilise this option, we suggest sending an announcement out to all impacted employees to ensure they are aware of the new process.

New mode 2: Do not create timesheets 

The second new mode we have introduced prevents timesheets from being created at all.

Once an employee has clocked off through the TimeClock or Personal TimeClock, any rounding and automatically scheduled breaks will be applied but no actual timesheet will be created.

This enables your organisation to still process payments to employees via their work schedule, but still capture and report on the time worked by an employee.

Reporting on these non-timesheet transactions can be accessed in Reporting > Time Clock Reporting > Time Clock Variance.

2. Announcement enhancements

In response to JobKeeper and in an effort to help our customers confirm JobKeeper eligibility for their employees, we introduced some enhancements to our Announcements feature earlier this year. These enhancements included; adding a question and two response options as well as requiring a signed acknowledgment.

Multiple questions

Our team has been working in the background to expand on the question capability of Announcements and the following improvements have been added;

  • Multiple questions/responses
  • Multiple response options (previously, Definitiv only catered for two options)

New employees

We have also introduced the ability to have an announcement set up as ongoing so new employees will also receive the announcement. This can come in handy for induction content and HR policies employees are required to read and sign.

Please note, if the Notify Selected Employees is turned on, only new employees who meet the criteria are notified.

Notifications are created and sent at midnight.

3. Gross To Net report

The new Gross To Net report can be found in Reporting > Payroll Reporting.

This report breaks down the payroll for each employee by pay items as well as details; deductions, employee and employer superannuation totals if you wish to just see the total instead of pay item breakdown.

4. Variance report

The new Variance report can be found in Reporting > Time Attendance Reporting. This report is a grid report version of the Team Variance feature with a few added extras.

We suggest utilising the grid reporting guide linked above to get the most out of this report.

1. What’s New

Going forward when we release an update, users will be greeted with a What’s New screen, upon updating to the latest version, to advise them of the latest enhancements to the app.

2. Draft Timesheets

If the draft timesheets mode is turned on, employees will now create draft timesheets through the Personal TimeClock function, enabling them to make updates to the timesheet at a later time before submitting for approval.

3. Change Duties

Changing duties is now even easier. With a press of a button, employees can now change to their next scheduled project, role or shift via the Personal TimeClock. This makes it easier for employees rostered onto multiple shifts throughout the day which have different costing components

UNDER THE HOOD

1. Enable Percentage for deduction and taxation based pay items. This new option has been introduced to calculate on Total Gross Payments or alternatively selected pay items. Furthermore, the Unit of Measure is no longer locked when selecting Percentage behaviour.

2. Any milliseconds sent from iOS devices have been removed from the Time Clock Variance report.

3. The ATO Category of ETP Tax Free will now display in the relevant termination pay items.

4. An employee’s primary project will now be added if no project is provided in the timesheet import.

5. The displaying of timesheet custom fields will align with the permissions assigned to the employee.

6. Tasks selected on a timesheet will now display when the timesheet is reopened.

iOS App V2.20

1. The Work Schedule Detail screen will now display how many days from today’s date the current schedule is being displayed.

2. Options selected in the drop-down custom field can now be updated at a later date and a Not Specified option has been introduced for non-mandatory fields.
